Introduction
La Dispensa is an independent wholesaler of high-quality artisanal food and wines to the United Kingdom. In compliance with the General Data Protection Regulations (GDPR), we are committed to protecting the private information of individuals and treating it with due consideration. When we talk about personal information, this includes any information that enables an individual to be identified and so includes names, addresses, email addresses and telephone numbers, even where these are business related. Our customers and associates are located in several countries. Currently, these countries are the UK, Italy, France and Slovenia. The care we take over the data in relation to our UK customers and associates is the same we have for our non-UK customers and associates.
The information we collect
The personal information we record and process largely stems from: (i) visits to, and orders placed via, the http://www.ladispensa.uk website (the “Website”); (ii) orders placed with us by telephone, email, in person or by any other means; (iii) visits to our premises or to our stand at trade fairs.
All potential new customers, especially when requesting credit payment terms, are now checked more closely than in the past and this means more information must be provided. The information requested for new customers check is the same as is held for existing customers described above plus: name and home addresses of up to three partners/directors of the company, business bank account details and contact names, business name and business addresses of two trade referees.
Individuals expressing an interest in our products trade fairs pass us their business cards and sign a permission form if they wish to receive marketing and news from us. The information provided is typically name, company name, address, email address and telephone number.
The information we hold for existing customers is: name, company name, address, email address and telephone number. The contact information we hold is used to communicate with customers in several contexts: (i) orders – emailing or contacting by telephone customers periodically to take their orders, creating the necessary delivery and invoice paperwork and delivering the ordered goods; (ii) newsletters and e-newsletter – customers can ask to be added to our mailing list; (iii) customers are contacted periodically by email and/or by telephone for marketing purposes where this is in line with their expressed preferences.
Information collected by the Website
When you visit the Website we automatically collect certain information about your device (“Device Information”) including in relation to your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, we collect information about the individual web pages and products that you view, what websites or search terms lead you to the Website and information about how you interact with the Website. Your internet browser can be adjusted to delete or alter the cookies you leave. We collect Device Information using the following technologies:

We use the Device Information that we collect to help us screen for potential risk and fraud (in particular your IP address), and more generally to improve and optimise our Website (for example, by generating analytics about how our customers interact with the Website, and to assess the success of our marketing and analytics campaigns).
Sharing your personal information
We will never share your personal information in any way, other than as described in this policy. Finally, we may also share your personal information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.
Legal Basis
There are eight possible legal grounds for processing personal data: consent, contract, legal obligation, vital interests, public task, legitimate interests, special category data and criminal offense data.
We rely on the grounds of legitimate interests in handling the personal information of our customers. Without using the information provided by potential new customers, we would not be able to undertake the necessary pre-business checks before allowing credit payment terms, nor would we be able to take food orders, deliver goods or invoice goods. Contacting customers directly in relation to gaining new orders is a regular activity and is an entirely expected aspect of our business. It serves our commercial interests and those of our customers, since we would not remain in business without regular customer orders, and our customers would not remain in business without stock to sell.
Your Rights
You have the right to access the personal information we hold for you and to withdraw your consent for us to use it. You also have the right to ask that it be corrected, updated or deleted. To exercise any of these rights, please contact us using the contact information below. You also have the right to lodge a complaint with the ICO in relation to any perceived misuse by us of your information.
This privacy policy is available on our Website and can be passed to anybody who asks for it.
How we secure personal data
All the personal information we hold is stored by electronic means within two password-protected environments (to enable us to recoup the information in case of disaster, for example). Personal information is only ever printed out to produce invoices and delivery notes.
Data retention period
It is very difficult to at what point an active customer becomes a lapsed customer. As we wish to keep data for no longer than is reasonably necessary, it is now our policy that non-activity from a customer for a period of three years will signify them to be a lapsed customer, and their information will be deleted from our system (except where records are required to be kept for legal purposes, such as accountancy).
Changes
We may update this policy from time to time in order to reflect changes to our practices or for operational, legal or regulatory reasons.
